Dispatch  Dispatch is the central point for all key information for your day-to-day operations. A powerful "single screen" approach allows your dispatchers to enter new loads, update in-transit loads, research trip details, perform rating, and match equipment with available loads and drivers. As well as the myriad of others tasks they are required to perform.

The Dispatch Software module is closely linked with all the master files for other modules of the system. The result is that it "remembers" all the important information your dispatcher needs to know while performing his duty; Equipment Details, Driver Information, Customer Details, Credit Status and Rating, Routes, Subcontractor and Lessor Data, etc. are all quickly called into the screen as loads are entered or updated.Any load is immediately accessible by a wide variety of search options. Current status and tracking history provide all the details to know exactly where a load is and how it has moved.

Your Dispatchers time will be much more effectively used, because the time spent researching or looking up informatin will be minimized.

Drivers Logs  Classic Software's Driver's Logs System records all entries of all drivers, as per requirements of the national Department of Transportation. A complex set of rules make up the allowed hours of driving, on-duty, off-duty, and sleeping. Violations for the 11, 14, 60/70 hour rules are issued. Speeding is detected. Omission violations are recorded (missing signature, etc).

Supplemental log entries can be entered. Events such as delays (weather, mechanical, traffic, etc) and financial (tolls, fuel, fines) can be stored permanently and linked to the day it applied to.

An online view of all drivers in exhaustive detail is available, including on-duty hours available in the 60/70 hour period. Monthly summaries of activity and violations are available for any month/any driver. Reports include a compliance report to be signed by the driver, supplemental entries, violations, team logs, latest log per driver, and a driver problem list. 
Trip Reporting  Designed to allow the user to smoothly enter the information for each of these areas directly from the trip envelope. The module provides many different summaries and reports for the preparation of tax reports and for management analysis. The Driver's Logs will help relieve the tedious and time consuming task of hand calculation and audit. You will be able to quickly enter, verify and audit logs and produce the required documentation.

   Accounting is designed to summarize the true financial status of your company at any point in time. It details where your money is coming from and where it has gone.    Transactions automatically flow here from invoicing, receivables, payables and payroll.    The entire system is real-time interactive. Information can be entered and processed day by day as your business occurs – and no batch processing.

Shop

Vehicle Maintenance  Vehicle Maintenance and Forecasting are designed to protect the most important part of your business....your fleet. The investment you have in your equipment is substantial, and proper and timely maintenance will not only cost less in parts and labor, but will keep your units on the road, where they belong. The system has three major functions:

1. Current status report of each vehicle and its associated components and inspections
2. Complete maintenance history, by component and by vehicle
3. Forecast future maintenance and inspection needs

Component profiles and inspections for each make and model of equipment can be set up according to your procedures and needs. You can be as detailed or general as you choose in defining what parts, components, assemblies and subsystems you wish to track.When a new piece of equipment is entered into the system, the component master for that type is copied into the profile for that new equipment.
As miles, inspections and maintenance occur, the equipment and all associated components are updated.Reports are available to obtain historical, current and forecast information. Current and historical information is also available on the screen. Warranty information is monitored and flagged when appropriate. The Maintenance Forecasting Reports are used to schedule equipment and shop resources in and optimum manner.
Master file of information pertaining to each piece of equipment in the fleet is continually updated. The Vehicle/Parts program allows you to display all of the information on each vehicle as well as all of the major components which must be tracked. If the component is an assembly, the assembly parts will also be tracked and can be accessed for viewing.
Automatic balancing controls during data entry to protect against debit/credit imbalance. Invalid account numbers are immediately rejected at time of entry Journal entries can be easily viewed, modified, or deleted as needed directly from the screen.
Complete transaction audit trail Both detailed as well as summary trial balance formats are available at any time. All detail of prior periods is retained in history files, allowing you to reconstruct and/or modify past periods if the need should arise. A two year history of miles per month is kept for managerial analysis and used as the basis for automatic miles computation in forecasting.
Mileage and maintenance information is entered and automatically updates the vehicle and associated parts. Any overdue items are brought to the operator's attention and listed on the Overdue report, or sent to the dispatcher via an Alert.
Forecasting capabilities are very flexible, allowing the operator to forecast for any specific piece of equipment or the entire fleet.
As work orders are completed, the cost of parts information and actual labor costs are written to a history file for future reference. Every time a part is removed or installed, a record is written to the part history file with all pertinent information such as the total miles, equipment miles at install, etc. The life of the part can then be tracked.

Inventory  Inventory Control is intended to work hand-in-hand with the Vehicle Maintenance and Work Orders modules. It assists you in maintaining the proper parts and quantities for smooth and prompt equipment service. The module is designed to optimize stock levels. The tightly integrated interface with Vehicle Maintenance Forecasting helps spotlight shortages before they become costly stock-out situations resulting in equipment downtime.

Proper usage of the system can reduce procurement costs and provide information for usage analysis. The extensive information stored on each inventoryitem, such as quantity on hand, quantity reserved, quantity on order, min and max quantities, core charge, superseded part number, alternate or substitute part numbers, last purchase information and consumption history make this module a very effective cost management tool.

All parts can be assigned up to a twenty character part number, using both letters and numbers. Use of the inventory by other Classic Software modules will reference the inventory by this part number. A classification system is incorporated so that you may classify and print out certain areas or categories of your inventory.
The "cycle" feature allows you to separate inventory into groups, making physical inventory a more manageable task. 
Purchasing  Purchasing allows for formalized purchase order procedures and interfaces with the Inventory module for parts and supplies procurement.

Work Orders  The Work Orders module interfaces with the Inventory and Vehicle Maintenance modules to provide a complete shop control system. Parts, labor, shop supplies and outside services are all entered and recorded by work order number. These costs are displayed or printed in summary or detail form for management review.
The history of all work orders and associated costs are kept on the system for future analysis.Work in process is reported, as well as current status of in-house work orders.

Labor rates are kept independent of payroll files to allow different shop rates.Several shop rates and discount levels are available, providing the flexibility handle and bill outside work.

Any outside work for customers will update the Accounts Receivable module. 
Parts Sales  If your company sells parts over-the-counter, then this module is for you. Invoices and credit memos can be generated at the counter for cash or credit sales. Inventory is automatically updated, and credit sales information is passed on to the Accounts Receivable and General Ledger modules.

Security  System Security is crucial to any well managed operation. Classic Software incorporates a number of different methods to protect the integrity of your company information and data files. Login and password protection limit the access of each user to only those areas that are authorized by management. "System and Company Number" is used for access to separate corporate entities. Logon menu setup defines what modules and functions appear as options for each user. Three levels of password authority can also be used to further protect key actions.

Document Imaging  What do we mean by built-in imaging? Classic Software's ability to tie in imaging capabilities so tightly that the user does not have to run complicated software to store or view images. You can View, Email, Fax, or Print Images once they have been stored on your server.
The Imaging capabilities are integrated into many parts of the system allowing you so store all types of important documents. We also offer a customizable filing system to allow storage of other documents such as titles, personal documents, agreements, contracts, reports, etc.

This is how it works:

Let's say you wanted to save documents associated with a particular dispatch trip, you simply:

1. Pull up the dispatch trip in the system
2. Insert the documents that you want to scan into the scanner
3. Hit the save image(s) key.

The system will scan your pages, save them in reference to the trip number, then show you what was saved for confirmation/verification. It is just that easy!
To view documents, you simply:

1. pull up the trip you are interested in
2. Press the view images key...

For back up and archiving, the system will allow you to write the document images to CD-ROM or DVD. They can also be left on the hard disk for as long as you want, assuming you have the space. If you want to view an image that has been archived to CD-ROM or DVD, Imaging will tell you which disk label to retrieve and insert. As a bonus, the disk can be viewed on any Windows PC with a web browser.

The imaging software uses a LossLess Compression to guarantee you wont miss any details of the original images. The Imaging software compression is also very high enabling you to store an incredible number of high-resolution images (300-600 dpi) on a hard disk or CD-ROM. 
EDI  Classic Software creates it's own Electronic Data Interface (EDI) applications. We specialize in load tenders (204's), load decisions (990's), load status (214's), invoices (210's), and invoice confirmations (997's).

While there is an element of standardization in EDI applications, no two shippers have the same requirements. Each shipper specifies what forms, segments, and fields they need. With that variation in mind, Classic customizes all EDI applications to meet the shipper's requirements.
Most shippers require the carrier to work through an EDI VAN. Classic is neutral on the issue, simply accommodating your needs. Your system will be setup to pass data to/from a receiver (usually the VAN), via some file transfer protocol (usually ftp).

The 204 files create Classic dispatch records (assuming you accept the load). 990's accept or decline loads (from 204's). 214's notify the shipper of the status of the load (arrived at pickup, departed pickup, etc). 210's serve as the invoice. 997's can serve various purposes. Usually it is sent by the shipper to confirm they received the invoice (210).
